Instead of “What’s the problem?” I might say, “What’s been the hardest part for you in this process?” or, “What would you like me to understand about your perspective?” It’s about drawing people out, not directing them. I also rely on affirmations—not to flatter, but to highlight strengths others might not see. For example, with a quieter team member, I could say, “You ask great clarifying questions—what’s your take?” Reflecting back their responses builds trust, turning surface conversations into meaningful connections.
