Before purchasing AI solutions, understand the requirements and follow these best practices to ensure successful implementation.
All cloud service providers must be FedRAMP-authorized or in the process of obtaining authorization. AI cloud services should leverage an existing authority to operate from other agencies to maximize savings.
Consult with your agency’s IT security team about obtaining an Authority to Operate or FedRAMP provisional ATO.
Define the specific problem your agency needs AI tools to solve. Focus on mission requirements rather than specific technologies or vendor solutions.
Key question: What tasks or processes would benefit most from AI assistance?
Use testbeds, sandboxes, or pilot programs to evaluate solutions before large-scale purchases. This reduces risk and ensures the technology meets your needs.
Recommendation: Start with a small user group to test functionality and measure results.
Note: You might already have access to AI solutions through your agency’s existing tools or government cloud platforms.
AI tools process data “inputs” to create “outputs.” Understand data flow, storage, protection measures, and any limitations on data types.
Consider: What data can be shared? How is it protected? Where is it stored?
Coordinate with your agency’s Chief Information Officer, Chief AI Officer, Chief Data Officer, Chief Information Security Officer, and Chief Privacy Officer.
Why: Each role brings essential expertise for compliance and successful implementation.
AI services are typically billed like Software as a Service. Usage costs can grow quickly without proper monitoring and management controls.
Best practice: Set usage limits and regularly review consumption reports.
Contact your IT procurement team or GSA representative to begin the approval process.
Our team can help you navigate requirements and maximize the value of these agreements.
